Mailshake Alternative for Warm-Up Only

By BobWorkUpdated 2026-10-209 min read
Mailshake and BobWork Email Warm-up comparison for email warm-up only

Mailshake is an outreach platform with warm-up bundled; if you only need warm-up, the key number is $0 for up to 10 mailboxes in BobWork versus $29/month for Mailshake Starter. Ignore that difference and you may pay for campaigns you do not use. This page compares cost, limits, provider support and safe switching.

If you already run sequences in Mailshake, you may not need to switch. If you only need inbox activity, spam-folder rescue, DNS checks and a controlled ramp, the free warm-up tool is built for that narrower job. For a broader market view, see the free email warm-up tools comparison.

Prices were read on 17 October 2026 from the vendor's pricing page; check before you buy. Mailshake facts below should be rechecked on the official Mailshake pricing page before a purchase.

Is BobWork a Mailshake alternative?

Yes, but only for email warm-up and mailbox readiness.

Mailshake does more than warm-up. It is a cold email platform with campaigns, sequences and sending workflows. The facts used here list Mailshake Starter at $29/month monthly, or $25/month yearly, with 1 mailbox and 1,500 sends per month. Warm-up is included for subscribers.

BobWork Email Warm-up is narrower. It warms connected mailboxes, checks SPF, DKIM and DMARC daily, measures spam landings directly in receiving mailboxes, and marks a mailbox ready only after three conditions are met: 14+ days warming, a 7-day spam rate at or below 3%, and at least 30 warm-up emails received.

That difference matters. A tool that sends campaigns and a tool that prepares mailboxes are not the same buying decision.

Use Mailshake if you want its outreach workflow, Outlook support and campaign engine. Use BobWork if you want warm-up only, especially for several Gmail, Google Workspace, Zoho, Yahoo, iCloud or IMAP mailboxes.

Mailshake wins on Outlook and campaign tooling. BobWork wins on free mailbox count and standalone warm-up pricing.

BobWork also uses a fixed warm-up ramp. It starts at 3 emails per day, adds 2 per day, and caps at 30 per day by default. Weekends run at 30%. Sends spread between 09:00 and 18:00 in the mailbox's own time zone, with randomness every 15 minutes.

The free shared network does that ramp automatically. You can edit the cap per mailbox up to 100, but the published recommendation is to keep warm-up at 10–15 per day while campaigns are running.

What does each option cost?

This table uses the monthly Mailshake Starter price from the facts above. It assumes one Mailshake Starter user per mailbox because Starter is listed as 1 mailbox. It does not model higher Mailshake plans because those plan details are not included in the provided facts.

MailboxesMailshake monthly costBobWork monthly costAssumption
1$29/month$0/monthMailshake Starter monthly; BobWork free tier
5$145/month$0/monthFive Starter users at 1 mailbox each
20$580/month$30/monthTwenty Starter users at 1 mailbox each

On yearly Mailshake pricing, the listed Starter price is $25/month. Under the same assumption, that would be $25 for 1 mailbox, $125 for 5 mailboxes and $500 for 20 mailboxes.

BobWork stays free through 10 mailboxes, then costs $30 at 20 (10 extra at $3). Each active mailbox above 10 is $5/month. From 10 extra mailboxes, extras are $3 each. From 50 extra mailboxes, extras are $2 each. Billing is through Stripe, prorated, and extras pause without billing.

The lower price does not mean BobWork replaces a full outreach platform. It means you should not pay outreach-platform pricing if your current problem is only warm-up.

What does Mailshake do better?

Mailshake is the better fit when warm-up is only one part of your outreach stack.

Its clear advantage is scope. The facts used here list Mailshake as having a campaign and sequence engine. If your team wants warm-up, sending and campaign management in one paid product, that can be cleaner than combining separate tools.

Mailshake also supports Outlook and Exchange. BobWork does not yet support Outlook or Microsoft 365 because Microsoft requires OAuth. If your sending mailboxes are mainly Office 365, Outlook or Exchange, Mailshake has the provider advantage.

Mailshake Starter also includes 1,500 sends per month in the facts used here. That matters if you plan to run campaigns from inside the same platform. BobWork has a beta Outbound feature, but this page compares warm-up only.

Mailshake says warm-up is unlimited for subscribers, with volume set by the user. That may appeal to teams that want direct control. You still need to avoid sudden jumps. Mailbox providers typically react badly to unnatural sending spikes, even when a tool allows higher limits.

Stay with Mailshake if you use its outreach features every day. That includes teams running sequences, managing campaigns, using Outlook or Exchange, or keeping all outreach operations inside one paid platform.

What does BobWork do better?

BobWork does better when the job is only to prepare and maintain mailboxes.

The biggest difference is cost. You can connect up to 10 mailboxes free, with no credit card and no time limit. That changes the buying decision for agencies, founders and small sales teams testing new domains.

BobWork is also useful when you want warm-up separate from your outreach platform. Some teams send campaigns from one system but want mailbox health checks elsewhere. BobWork checks SPF, DKIM and DMARC daily, then shows results per domain.

Spam measurement is direct. BobWork measures the share of a sender's warm-up mail that receiving mailboxes found in Spam over the last 7 days. It does not use third-party seed lists for that metric.

Warm-up messages are plain text office notes. They have no links and no images. About 40% of received warm-up mail gets a reply, and threads end after 3 messages.

Warm-up mail found in Spam is moved to Inbox, marked read, labelled Warm-up and archived after 24 hours. Real mail is not read, moved or answered. BobWork only touches mail carrying the engine's hidden header, or a known subject for Zoho API senders.

There is one important Gmail limitation. One-click Google sign-in exists, but Google shows an unverified-app notice because the app has not completed the CASA audit, and Google caps unverified apps at 100 users. The recommended Gmail route is IMAP with an app password, which requires 2-Step Verification. Google's official instructions are here: Sign in with app passwords.

For provider setup, use the Gmail warm-up guide or the Zoho Mail warm-up guide.

How do you switch safely?

You can switch from Mailshake warm-up to BobWork, or run both during a controlled transition. The key is to avoid doubling mailbox activity without noticing.

Audit current volume

Check how many warm-up and campaign emails each mailbox sends per day. Add both together.

If a mailbox is new, a typical safe outreach range is around 30–50 real cold emails per day after warm-up, not hundreds from one inbox. BobWork's published recommendation is 14 days of warm-up for an existing domain and 3–4 weeks for a new one.

During campaigns, keep warm-up around 10–15 per day.

Check DNS first

Before you move tools, confirm SPF, DKIM and DMARC. Bad DNS makes every warm-up result harder to read.

Use the free SPF checker, DKIM checker and DMARC checker. BobWork also checks these records daily for connected domains.

Connect supported mailboxes

In BobWork, sign in with an email code. Add your mailbox using the provider route.

For Gmail or Google Workspace, the recommended route is IMAP with an app password. Zoho can connect through the Zoho Mail API using a Self Client code, including on the free plan, or through IMAP on Mail Lite+. Yahoo and iCloud use IMAP with app passwords.

Amazon SES, SendGrid and Mailgun use platform SMTP credentials for sending plus a receiving inbox over IMAP. Any IMAP plus SMTP mailbox can use the generic connection flow.

If your mailbox is Outlook or Microsoft 365, do not switch it to BobWork yet. It is not supported.

Choose the pool mode

BobWork uses a shared warm-up network by default. One mailbox is enough to start because it warms with other active mailboxes in the network.

If you prefer isolation, switch to a private pool in the dashboard under Mailbox pool → Pool mode. In private mode, only your own mailboxes warm each other, and you need at least two mailboxes.

Use private mode when you do not want addresses exposed outside your account. Use the shared network when you want to start with one mailbox or get broader peer variety.

Avoid duplicate warm-up

If the same mailbox warms in Mailshake and BobWork at the same time, total activity can rise quickly. More warm-up does not automatically make a mailbox safer.

Pick one warm-up source per mailbox, or reduce caps so the combined volume stays deliberate. Watch spam rate, bounces and provider warnings for a few days before raising anything.

Wait for readiness

BobWork marks a mailbox ready for outbound only after 14+ days warming, a 7-day spam rate at or below 3%, and at least 30 warm-up emails received.

Do not treat warm-up as a guarantee of inbox placement. It is a signal-building and monitoring process. Your list quality, message content, authentication and complaint rate still decide outcomes.

If you want a day-by-day plan, follow the 14-day and 28-day warm-up schedule.

What should you do now?

StepActionHow to verify
1Decide whether you need Mailshake's campaign engine or only warm-upIf you need sequences and Outlook, stay on Mailshake; if not, compare warm-up-only cost
2Count active mailboxesConfirm whether you have 1, 5, 20 or more mailboxes to price correctly
3Check current daily sendingAdd campaign sends and warm-up sends per mailbox
4Verify SPF, DKIM and DMARCUse DNS checkers or BobWork domain checks after connection
5Connect one supported mailbox to BobWorkThe mailbox appears in the dashboard with warm-up status
6Set pool modeShared starts with one mailbox; private requires at least two mailboxes
7Avoid overlapping warm-upConfirm only one tool is warming each mailbox, or reduce caps deliberately
8Wait for the ready gateLook for 14+ days warming, spam rate at or below 3%, and 30+ received warm-up emails

Mailshake is the stronger choice when you want a paid outreach platform with warm-up included, especially for Outlook or Exchange. BobWork is the narrower choice when you only need warm-up, DNS checks and mailbox readiness without paying per mailbox up to 10 mailboxes.

If that is your use case, start with BobWork Email Warm-up, connect one supported mailbox, and let the ramp run before moving campaign volume.
