There is no universal winner in that table. Choose Instantly if you want one account for outreach and warm-up, especially if Microsoft Outlook is part of your setup. The engine ramps gradually. It starts at 3 emails per day, adds 2 per day, and caps at 30 per day by default. The cap is editable per mailbox up to 100. Weekends run at 30%. Sends are spread between 09:00 and 18:00 in each mailbox's own time zone, with randomness every 15 minutes.

The free pool does this step automatically: it prefers peers on a different domain or provider twice as often, and it avoids the same pair writing twice within 3 hours.

About 40% of received warm-up mail gets a reply. Threads stop after 3 messages. Content is plain office talk, in plain text, with no links and no images.

The table looks different depending on your stack. If you use Instantly's outreach platform every day, the $47 may be easy to justify. If you only need warm-up, paying monthly for bundled outreach can be unnecessary.

There is one practical caveat for the private-pool mode: it needs at least two mailboxes, because a single mailbox cannot warm itself. With one Gmail inbox, stay on the default shared network.

Who should stay on Instantly?

How do you switch safely?

Switch in order. The goal is to avoid a sudden drop in normal mailbox activity.

1. Check the domain first

Before changing warm-up tools, confirm SPF, DKIM, and DMARC. BobWork checks these records daily and shows them per domain. You can also use the free SPF checker, DKIM checker, and DMARC checker.

2. Connect your mailboxes

4. Wait for readiness

BobWork marks a mailbox ready for outbound after 14 or more days of warming, a 7-day spam rate of 3% or less, and at least 30 warm-up emails received.

5. Turn down old warm-up

Do not run two warm-up tools aggressively at the same time. You can overlap briefly while you verify the new setup, but avoid stacking high volume from both.
